COMMUNITY CLUBHOUSE

A member that wishes to use the community clubhouse must apply for permission from the association per the following rules and guidelines. [Nonprofit and Public Agency uses are covered under a separate rule.]

RULES FOR THE USE OF THE CLUBHOUSE & RENTAL TERMS [Rev. 10/2017]

1.  An Association member may apply to reserve the clubhouse for their private use between the hours of 8:00 AM and 10:00 PM by performing the following steps:

(a) Completing and submitting a clubhouse rental APPLICATION/RESERVATION form (see Clubhouse Calendar for available dates), together with the necessary rental and security deposit checks, to:

(b) Sending an email to ClubhouseManager@TheEdenShores.org informing that they have completed and sent in their rental application with payment and deposit checks (a copy of the application form may be attached to the email).

(c) Contacting the Clubhouse Manager at least one week prior to their event to arrange for accessing the clubhouse on the day of their event.

2.  The clubhouse capacity is limited to 58 people.

3.  No person under eighteen (18) years of age will be permitted in the clubhouse facilities without a parent or guardian present.

4.  Smoking is not permitted in the clubhouse.

5.  Alcoholic beverages are not permitted to be brought into or consumed within the clubhouse.

6.  Any reservation for the use of the clubhouse will be limited to the use of the clubhouse meeting room and the restrooms.  Members renting the clubhouse and their guests may NOT use the swimming pool facility (including the pool itself or the deck area and patio surrounding the pool). Not complying with this rule may cause your deposit to be forfeited.

7.  The following charges and deposits are required to reserve the clubhouse (Effective 11/1/2017):

(a) A nonrefundable administrative fee (rent) of $250 for a full-day use [from 8:00 to 10:00 PM], and

(b) A refundable cleaning/damage/violation deposit of $200.

Please make two separate checks: $250 for rent and $200 for deposit. The deposit is refunded if the clubhouse and its facilities are left in the same condition as they were before use by the renter and no rules for its use were violated.

NOTE: (1) a $50.00 penalty shall be charged for canceling an approved reservation; (2) a $25.00 fee shall be assessed for rescheduling an approved reservation.

8.  The clubhouse should be cleaned and vacated within an hour after its use, but no later than 10:30 PM. The deposit will not be refunded until after a designated member of the HOA has inspected the premises.

9. The deposit will be refunded if the premises have been cleaned and there are no damages or no violations of the rules for its use.  If damages exceed the amount of the deposit, the member who rented the facility will be billed for the balance.

10.  No cooking of any type is allowed in the clubhouse.  Only the heating of precooked foods, water, and other beverages are allowed.  All foods must be removed from the facility after its use.  A refrigerator is available in the premises.

11.  All trash and other waste must be properly deposited in trash bins located in the shed next to the clubhouse parking lot.  The member renting the clubhouse must remove all excess trash from the facility at the end of its use.  The parking lot, too, has to be free of debris and trash.

12.  The clubhouse must be closed and locked up by no later than 10:30 PM on the day of its use.

13.  Effective 6/18/07, no additional insurance is required from clubhouse renters: the HOA will shoulder all insurance requirements through the new HOA facilities insurance carrier.

14.  The Eden Shores Homeowners Association reserves the right to deny any request to reserve the use of the clubhouse facility.

Rental is “first-come-first-served”: in case of date conflict, the first homeowner whose application and checks are received has the priority in reserving the clubhouse.

16. The patio section of the pool area is not part of your rental. Please ask your guests to remain inside the clubhouse for the duration of your rental. Please initial below to confirm you understand this rule.
